Education and Support Administrator (ESA) – Africa or Asia

Purpose: The ESA provides administrative support to the WSAVA’s programme of continuing education and professional development initiatives, and other WSAVA processes, ensuring that an excellent customer experience is always provided.

Salary: $2,000 USD per month / $24,000 USD annually

Hours per Week: 40 hours per week

Contractual Arrangements: WSAVA people resources are provided by Kenes Association Management. The successful candidate will be provided a contract on an independent contractor basis and will be self-employed*.

Location: Homebased within Africa or Asia.

Reporting To: Chief Learning & Development Officer (CLDO) with indirect supervision from the Global Operations Manager as required.

*Those working on a self-employed, contractor basis is responsible for their own accounting and tax payments within the country they are based.

Responsibilities:

  1. Support the CLDO with delivery of the WSAVA education strategy, and undertake administrative tasks as directed by the CLDO.
  2. Configure and maintain the WSAVA learning management system (LMS) and other associated platforms and applications (such as Zoom / Microsoft Teams for Webinars).
  3. With the CLDO, liaise with the LMS provider to ensure routine maintenance of the LMS is completed, and any issues are reported and resolved.
  4. Upload and organize education content onto the LMS, ensuring it is presented consistently, clearly, and in line with the WSAVA brand.
  5. Liaise with subject matter experts to gather and collate education materials and resources, in line with agreed timelines, and ensure timely updates and revisions of education content as necessary (this includes WSAVA World Congress programme support).
  6. Assist the CLDO with the design of learning pathways and curriculum.
  7. Process course enrollment and ensure learners receive an efficient and consistent level of customer service, including the delivery of certificates to those completing certificated programmes.
  8. Provide technical support and troubleshooting assistance to LMS users.
  9. Maintain accurate records of education resources.
  10. Generate reports on the use of the LMS and other education initiatives, including the identification of trends and making recommendations to the CLDO.
  11. Manage personal data in line with relevant data protection policies.
  12. Assist the Global Operations Manager with administration of the admin@wsava.org mailbox.
  13. Coordinate activities of the WSAVA Translation Task Force.
  14. Support WSAVA at the annual World Congress.
  15. Undertake any other duties consistent with the role.

Person specification

Essential:

  • Fluent in spoken and written English.
  • A passion for animals and animal welfare.
  • Experience of working with learning management systems.
  • Extensive experience of working in an administrative role, handling multiple different queries and tasks, and working to deadlines.
  • Advanced knowledge in a variety of digital tools and packages (Microsoft Office, Teams, Zoom).
  • Ability to work independently and collaboratively.
  • Attention to detail and accuracy in data management.
  • Understanding of data protection legislation, and experience of applying that knowledge within the workplace.
  • Able to work flexibly due to working as part of a global team and working some evenings and weekends.

Desirable:

  • Experience working with education and training content development.
  • Work experience from within the veterinary sector and / or a veterinary qualification.
  • Ability to speak and write in a second language.
  • Experience of using Microsoft Dynamics.
  • Experience with Word Press, and basic HTML/coding.
